Admin & Procurement Officer - Malta

Looking for your next career move in administration and procurement? One of our top clients in Malta is seeking a talented Admin & Procurement Officer to join their team. This is an exciting opportunity to combine administrative expertise with procurement responsibilities while contributing to a dynamic and growing organisation.

 

What is expected of you?

  • Manage the full procurement cycle, including sourcing, quotations, and purchase orders
  • Ensure timely supply of materials, tools, and services for ongoing projects
  • Maintain supplier lists, conduct evaluations, and coordinate with warehouse and site teams
  • Use Zoho to streamline procurement workflows and reporting
  • Maintain accurate records of contracts, supplier agreements, and documentation
  • Support Finance and Operations teams with administrative and filing tasks
  • Ensure procurement activities meet company and ISO quality standards, and comply with HSE requirements
  • Monitor supplier performance and escalate quality or compliance issues when necessary
  • Track tools, materials, and equipment, ensuring accurate stock and asset records
  • Input and reconcile procurement data in SAGE, monitor budgets, and negotiate cost efficiencies
  • Prepare procurement and cost reports using Excel, Zoho, and SAGE
  • Analyse spending trends, savings, and supplier performance for management
  • Promote the company’s values of trust, commitment, and professionalism
  • Build strong relationships with internal teams and suppliers
  • Participate in continuous improvement and training initiatives to enhance procurement efficiency

 

What are you expected to bring?

  • Proven experience in procurement or supply chain management
  • Strong skills in supplier negotiation, cost control, and sourcing
  • Proficient in Zoho, SAGE, and Excel
  • Excellent communication, organisation, and attention to detail
  • Knowledge of quality standards, HSE compliance, and procurement regulations
  • Ability to manage multiple priorities and meet deadlines
  • Strong teamwork and problem-solving mindset
  • Professional, proactive, and committed to continuous improvement
