We’re working in partnership with one of our top clients to hire a Condominium Administrator to oversee daily operations, resident services, and compliance. You’ll be the key point of contact, ensuring smooth operations, strong community engagement, and high service standards throughout.
What’s expected of you?
• Maintain accurate records of residents, owners, and correspondence
• Manage all incoming/outgoing communications and documentation
• Coordinate meetings (AGM/EGM), including agendas, minutes, and notices
• Ensure proper filing, compliance documents, and contract management
• Oversee office supplies and general administrative resources
• Act as the main point of contact for resident and owner enquiries
• Manage move-ins/outs, access cards, and parking allocations
• Coordinate and follow up on maintenance requests efficiently
• Handle complaints and disputes in line with property by-laws
• Maintain a professional, welcoming front-office environment
• Issue monthly invoices and monitor payments/arrears
• Process supplier invoices and ensure proper approvals
• Support budgeting and financial reporting with the General Manager
• Manage petty cash and reconciliations
• Liaise with accounts on funds and overall financial operations
• Oversee planned maintenance and upkeep of common areas and building systems
• Coordinate contractors for repairs, servicing, and inspections
• Monitor performance of cleaning, security, and other service providers
• Conduct regular site inspections and follow up on corrective actions
• Manage bookings for shared facilities and ensure compliance with safety regulations
• Ensure full compliance with local legislation and condominium regulations
• Liaise with authorities, councils, and service providers as required
• Prepare and submit statutory documentation within deadlines
• Support insurance management and claims processes
• Keep management informed on regulatory updates impacting operations
• Supervise on-site administrative and support staff
• Manage schedules, attendance, and team coordination
• Support performance management and staff development
• Assist with recruitment and onboarding alongside the General Manager
What are you expected to bring?
• Degree or Diploma in Property Management, Business Administration, or a related field
• Relevant property/strata certification is a plus (e.g. MIEA, CPCM or equivalent)
• 3–5 years’ experience in condominium or residential property management
• Previous supervisory or team leadership experience preferred
• Strong understanding of property/strata regulations and by-laws
• Experience with property management systems (e.g. BuildingLink or similar)
• Excellent communication and conflict-resolution skills
• Highly organised, detail-oriented, and able to multitask under pressure
• Professional, discreet, and confident handling sensitive information
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Resident satisfaction and complaint resolution times
• Accuracy and timeliness of fee collection and arrears management
• Compliance with statutory deadlines and inspections
• Maintenance schedule adherence and issue resolution rates
• Quality of documentation, reporting, and communication
• Team performance, punctuality, and retention
