Our client is looking for a Front Office Administrator to support their growing team by managing front office operations, coordinating administrative activities, and creating a welcoming experience for clients and visitors alike.
What is expected of you?
- Welcome clients and visitors in a professional and friendly manner, ensuring an excellent first impression.
- Manage the day-to-day operations of the reception area and meeting rooms.
- Coordinate meeting room bookings and ensure rooms are fully prepared for meetings and client visits.
- Support employees with scheduling appointments and general administrative tasks.
- Maintain office supplies, stationery, kitchen consumables, and liaise with suppliers to ensure timely ordering and delivery.
- Coordinate travel arrangements, conference registrations, training bookings, and restaurant reservations for management.
- Process incoming and outgoing mail, including registered post, while communicating any delivery issues to relevant team members.
- Maintain accurate records and update internal databases.
- Provide administrative support to the Marketing and Human Resources departments when required.
- Assist in coordinating office maintenance and ensure office equipment, telecommunications systems, and health and safety equipment are serviced regularly.
- Contribute to the smooth day-to-day running of the office while supporting colleagues across different departments.
What are you expected to bring?
- Previous experience in an administrative, reception, or front office role.
- Strong knowledge of Microsoft Word and Outlook, with basic Excel skills.
- Excellent written and spoken English; additional languages will be considered an advantage.
- Outstanding organisational and time management skills with the ability to manage multiple priorities.
- Strong interpersonal and communication skills, with confidence interacting with clients, senior management, suppliers, and colleagues.
- Excellent attention to detail and a proactive approach to problem-solving.
- A professional appearance and a customer-focused attitude.
- Creative writing skills will be considered an asset.
