Office Administrator (Part Time) - Malta

Ready to join a globally renowned group of shipping companies? Our client, a leading name in shipping services, is on the lookout for a dynamic Part-Time Office Administrator to become an integral part of their expanding team!

 

What is expected of you?

  • Oversee office cleaning, maintenance, service contracts, and ensure adequate supply of stationery, kitchen, and cleaning products
  • Manage procurement and inventory of electronic equipment and office supplies
  • Organize daily company-provided lunches, administer parking tokens, and coordinate courier services
  • Ensure smooth office operations, including mobile contracts, internet services, IT support, and storage systems
  • Collect mail, assist with budgeting, and coordinate Board Meeting logistics, including travel and accommodation
  • Maintain time and attendance records, collect sickness certificates and leave applications, and handle onboarding/termination in line with regulations
  • Manage employee wellbeing services such as health insurance and mental health support, and organize mandatory training programs
  • Plan and coordinate team-building activities, office events, and yearly Christmas donations and hampers
  • Ensure health and safety compliance through risk assessments, emergency protocols, system maintenance, and certification renewals
  • Manage vessel certification schedules and documentation, oversee IT setup for new employees, and handle general IT coordination
  • Reports directly to the General Manager of WLM
  • Requires close collaboration with internal departments locally and globally, as well as with Transport Malta (TM)

 

What are you expected to bring?

  • Minimum of ‘O’ Level standard of education and relevant qualifications
  • At least 3 years of experience in a similar administrative or office management role
  • Strong organizational and time management skills with the ability to meet deadlines
  • Proficient in written and spoken English, with good communication abilities
  • Solid working knowledge of Microsoft Office applications
  • Self-motivated, adaptable, and able to work both independently and collaboratively in a dynamic environment
