PA - Malta

Are you a highly organised professional ready to support top-level executives? One of our top clients is looking for a Personal Assistant to provide key administrative support to the CEO and senior team, managing schedules, communications, and day-to-day operations.

 

What's expected of you?

  • Manage the CEO’s office operations, including diary management, correspondence, office supplies, general upkeep, and acting as a key liaison between the CEO and internal/external stakeholders
  • Work hand in hand with the Finance department and procurement to maintain streamline processes
  • Provide high-level administrative support to the CEO and senior management, including coordinating meetings, conference calls, travel and visa arrangements, and attending meetings to record minutes when required
  • Maintain accurate records and documentation such as contracts, insurance policies, mobile service agreements, and ensure timely updates and renewals
  • Support procurement and finance processes by handling authorised purchases, maintaining records, and liaising with the Finance team
  • Handle confidential documents securely while maintaining well-organised physical and digital filing systems
  • Coordinate with directors, shareholders, auditors, and banks to handle documentation, obtain signatures, and manage a range of administrative tasks
  • Assist with event coordination, including the organisation of corporate gifts, donations, and preparation of reports, presentations, and other required materials

 

What are you expected to bring?

  • Excellent verbal and written communication skills, with strong telephone etiquette
  • Advanced proficiency in English, particularly in written business correspondence
  • Fluency in Maltese is considered an asset
  • High level of integrity, with the ability to handle sensitive information with discretion and confidentiality
  • Strong organisational and time-management abilities, with attention to detail
  • Flexible and adaptable, capable of handling shifting priorities in a dynamic environment
  • Solid secretarial skills and intermediate to advanced proficiency in MS Office applications, including Word, Excel, PowerPoint, and Outlook
  • 2–3 years of experience in a high-level, fast-paced PA, secretarial, or senior administrative role
  • Proactive mindset with a meticulous and thorough approach to work
  • Reliable, composed under pressure, and focused on practical, solution-oriented thinking
