PA to the CEO - Central Region

We are recruiting a Personal Assistant to the CEO for a leading healthcare organisation with over 25 years of experience, renowned for innovation, advanced technology, and quality patient care.

This is a high-impact role suited to an organised, confident, and proactive individual who thrives in a fast-paced, senior-level environment.

What is expected of you?

  • Manage the CEO’s office, including diary management, correspondence, office supplies, and general upkeep.

  • Provide high-level administrative and secretarial support to the CEO and senior management team.

  • Coordinate meetings, conference calls, travel, and visa arrangements; attend meetings and take minutes when required.

  • Act as a key liaison between the CEO and internal/external stakeholders, handling communications with professionalism and discretion.

  • Maintain accurate and up-to-date records, including contracts, insurance policies, and service agreements, ensuring timely renewals.

  • Support procurement and authorised financial processes, maintaining records and liaising with the Finance team.

  • Coordinate and oversee duties and leave schedules of the Estate Facilitator.

  • Handle confidential documentation securely, maintaining organised digital and physical filing systems.

  • Liaise with directors, shareholders, auditors, and banks for signatures, documentation, and administrative requirements.

  • Assist with event coordination, including corporate gifts and donations.

  • Prepare reports, presentations, and official documentation as required.

  • Carry out general PA and secretarial duties in line with the evolving needs of the CEO and the organisation.

What are you expected to bring?

  • A friendly, smart, confident, and reliable personality with excellent written and verbal communication skills.

  • Advanced level of English, particularly in professional and business writing.

  • Fluency in Maltese.

  • High level of integrity with the ability to maintain strict confidentiality at all times.

  • Strong organisational and time-management skills with excellent attention to detail.

  • Flexibility and adaptability to manage changing priorities in a demanding environment.

  • Excellent secretarial skills with intermediate to advanced proficiency in MS Word, Excel, PowerPoint, and Outlook.

  • 2–3 years’ experience in a senior PA, secretarial, or high-pressure administrative role supporting top-level management.

  • A proactive, solution-oriented mindset with clear and level-headed thinking.

  • Experience in preparing contracts is considered an asset.
