Are you an exceptional Personal Assistant looking to support C-suite leadership at the highest level? One of our top clients is seeking to strengthen its Corporate Office team with an experienced and highly professional Personal Assistant to the Group Chief Executive Officer. This pivotal role is based at the company’s prestigious headquarters.
What's expected of you?
- Preparing comprehensive meeting agendas, weekly CEO briefings, and capturing clear action points, ensuring timely follow-up with senior leadership
- Managing the CEO’s schedule with meticulous attention, coordinating appointments and effectively prioritising daily commitments
- Handling complex travel logistics, including visa applications, travel insurance, and expense processes for the CEO, Board members, and senior executives
- Planning and coordinating internal and external meetings, conferences, and corporate events, ensuring flawless and professional execution of all logistics
- Delivering accurate, high-quality minute taking for Board meetings, committees, and other internal sessions
- Managing corporate communication platforms such as MBR, LinkedIn, the corporate website, and other digital channels, ensuring information is up to date and aligned with the Group’s brand identity
- Managing confidential and sensitive matters with the utmost discretion and professionalism
- Overseeing the day-to-day operations of the Corporate Office, including supplies management, office upkeep, and compliance with health and safety standards
- Welcoming visitors and coordinating meeting setups to ensure a polished, professional experience
- Providing administrative and secretarial support to the CEO, Directors, and senior management as needed
- Assisting the Sports and Social Committee in organising Group-wide initiatives and events
What are you expected to bring?
- At least three years of experience delivering executive-level support within a corporate setting
- Exceptional verbal and written communication skills in English; proficiency in Maltese is an advantage
- Excellent organisational and time-management capabilities, with a proven ability to multitask, prioritise, and operate independently with minimal supervision
- Strong interpersonal skills, with the confidence to engage and communicate effectively with senior leadership
- A demonstrated level of professionalism, integrity, and absolute discretion in handling sensitive matters
- Sociable and able to build strong working relationships across the organisation
