Our client, a well established organisation operating in Malta, is currently seeking a Personal Assistant to provide comprehensive administrative and secretarial support to their executive team.
What is expected of you?
- Manage complex calendars, schedule meetings, and coordinate appointments for executives.
- Arrange national and international travel logistics, including flights, accommodation, and itineraries.
- Prepare and edit professional correspondence, presentations, reports, and other documents with precision.
- Organise and maintain an efficient document management system, ensuring easy retrieval and confidentiality.
- Facilitate seamless communication by screening calls, managing emails, and acting as a primary point of contact.
- Coordinate and set up video conferences and other virtual meetings, ensuring all technical requirements are met.
- Assist with various administrative tasks and special projects as required by the executive team.
- Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.
What are you expected to bring?
- A minimum of 3–5 years of experience in an administrative, executive support, office management, or similar professional role.
- Possess strong knowledge of the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Demonstrate familiarity with document management systems and best practices.
- Be proficient in using various video conferencing tools for virtual meetings.
- Exhibit exceptional organisation, time management, multitasking, and prioritisation abilities.
- Show excellent verbal and written communication skills in English.
- Have the ability to draft professional correspondence and documents with accuracy and attention to detail.
- Maintain a high level of discretion and uphold professional ethics when handling sensitive information.
- Hold a relevant qualification in administration or a related field.
